We are definitely going to need help monitoring our table and talking to people about the club this year and if possible help with set up and take down for the Star Wars Neighborhood.
This year I have off for the whole event so I should be there to open us up. I don't have the specific hours as of yet but when I do I'll post them up here. Just in general though we're going to need as much help as we can supporting the table and ensuring we have a presence there. And thank you to everyone who helped relieve me at AACC so I wasn't stuck behind the table the vast majority of the time.
A couple of things: we may not have passes to get in like we have last year. We seem to be leaning more towards those that put in to the support of the neighborhood and table duty. I'm probably going to buy two passes for myself just in case but if you can volunteer in any form please let me know so I can pass that to Tim Wiant. If you volunteer though you have to follow through otherwise you won't get a pass. Apparently there was a bit of a problem with this last year.
As more presents itself I'll post it up here but lets get the ball rolling on table duty so I know who we may have on which days at least

Okay, I've posted the Load-In messages in the forums in 2 different posts, 1 for truck loading and 1 for unload/setup at the convention center. Those posts are as follows:
Load In 6/1 - Truck Loading in Gilbert/Chandler
The Star Wars Neighborhood sets are stored in Gilbert. If you can help load the truck on Wednesday, June 1 would you please register?
The truck will arrive at Jeff Hill's house in Gilbert at 8:00 A.M. The truck will be loaded with a majority of the Neighborhood. and then depart towards the convention center. It will make a brief stop by Tim Wiant's house (near Ray & I-10) to load on the remainder of the sets, and then depart for the convention center. The plan is to arrive at the convention center about 11:00 A.M.

If you can help unload at the convention center on Wednesday would you please register so I know how many people we have coming?

The plan is to arrive at the convention center about 11:00 a.m. after loading the truck with all of the sets in Gilbert and Chandler (see corresponding post).
Please note that no children will be allowed on the convention floor during setup due to liability issues with heavy machinery and all of the booth construction. Galactic Academy cadets will be allowed to help setup their tables between 3 & 4 pm on Thursday prior to doors opening.
If you have items to transport to the convention center for the Neighborhood, please contact me ahead of time to arrange for access to a dock pass.

So, through some stroke of luck of fortune, the Star Wars groups have been granted access to use room 213B in the West building of the convention as a changing and storage room. This room will be secure. It will be only for the Star Wars groups. The caveat is that we have to be out of the room by 7 pm on Friday and Saturday, since it will be used for other purposes. As such, I'm putting a few rules into place:
1. DO NOT move any furniture in the room. This includes chairs, tables, trash cans, podiums, whatever. I don't care if it makes it easier for you to get dressed. I expect the room to look the same way when we leave. If the room is set up when you enter, then it is setup for a purpose. DO NOT move anything!
2. DO NOT leave trash on the ground. Pick up after yourself. Be courteous to the PCC staff who have granted us permission to use this room, and do not make it a pig sty. As in the previous bullet, I expect the room the same when we leave.
3. The room will be cleared by 6 pm on Friday and Saturday. I will make sure that everything is cleared out of that room at 6 pm on Friday and Saturday. We have a panel that starts at 6 pm on Friday, if you make me really late to that panel, I'm going to be really upset. If I clear your stuff out of that room on either of those nights, you will have to find me and pay a nice ransom to get your stuff back (you'll be the first contributor to next year's build fund). I will not guarantee that you will be able to get your stuff back that night either because I will probably lock it away in the Neighborhood in the exhibit hall. So, make sure you are out by 6 pm on Friday and Saturday or your stuff becomes my stuff.
4. This room is for Star Wars groups only. Repeat. This room is for Star Wars groups only. Star Wars costumers and wranglers should be the only ones in this room. That means you can use it for changing into your Star Wars costumes, and that is it. It is not for your friends to hang out. It is not for you to change into any other costumes. If you have another costume that you'd like to wear, the changing room at the Hyatt is still available.
5. Any violations of the policies set forth above may cause revocation of the privilege to use this facility. If I believe that the room is being misused, I will pull the plug on it.

More rules?! Yes, more rules. Lol. This is a list of what we've typically enforced in the past as far as the club tables are concerned, and I'm intending to bring it back as a matter of trying to bring some decorum to the area.
The club tables are meant for us to be a chance to interact with the general public and educate them on who we are and what we do. This is a chance to bring in new recruits. As a result, it is important to present a good first impression. As such, we are going to reinforce a few rules that faded into the background last year.
- Please dress to represent the clubs and talk to people while working the tables. DO NOT dress in armored or masked costumes. It's really difficult to communicate when your face is behind a helmet/mask. Officer uniforms or other non-helmeted/masked characters are okay. (Ask if you're unsure!!!) DO NOT wear any offensive or questionable attire.
- NO food at the tables. There is to be no food at the tables. It's extremely hard to talk to people when you're chowing down on lunch.
- NO drink on the tables. Ok, you're talking to people and it's hard to go for a long time without getting dry mouth. Keep your bottle of water out of sight though. Don't set it on the table. Try to keep it to bottles with caps. I don't want to see you kicking over a cup with soda or coffee in it. Drink your coffee before you get to the table.
- NO additional people (family, friends, kids, etc.). This is not a socialization space for you and your friends. This is a recruitment space for the clubs. Let's bring in some new, awesome people to the clubs and expand the ranks!
- NO costume storage. We've got 2 changing facilities, one for Star Wars and one for all groups. Store your costumes in those rooms. We don't have space behind the tables to store your costumes.
- NO con purchases. We've got 200+ members in-state and some Legion/Clan members invading from other states. We don't have the space to store things for everyone. If you buy something, you are responsible for storing it in your room, in your vehicle, on your person, or with your costume.
- NO general stuff taking up space in the booth area. If it hasn't been approved to be in the booth area, it doesn't belong in the booth area.
- DO NOT rest helmet and/or gun on table to take a break. If you need a break, there are other spots around the area that will be available for a breather.

Note: I have one of the passes for our table since I tend to field the most hours there and in this case I have that whole week off so I plan on helping set up. As no one else has contacted me about helping with set up for the Neighborhood and historically as you guys know that's probably the biggest burden of the Con I'm going to ask for one for Rebekah also (as I know she also has the time off). If we have any other people who can help please see Tim and we'll try and figure out if we can

Alrighty, I thought I had made a post about this, but I guess I had dreamed (or maybe had nightmares) about it since I can't find it in any of the forums. So, here's the lowdown. Given the fact that the full weekend passes just went up in price again, maybe this will be good for those of you who haven't purchased a pass yet.
I've proposed to all of the COs that we handle the exhibitor badges a little differently this year than we have in the past. I proposed this change for 2 reasons, 1) transparency and 2) to encourage help. This whole thing doesn't come together without your help. More than anything, we need your help when it comes time to load/unload the truck, setup/breakdown the Neighborhood, and staff the tables. So, we're looking to base any exhibitor passes that are handed out on contributions of your time and energy to the Neighborhood.
If you look back over the Build Days, I've maintained an attendance list of who's been there at each build day to help out with the general Neighborhood construction. If you look at the forums, you'll see sign-up lists for table duty as well as truck loading/unloading and setup/breakdown. At some point within the next few weeks, I will look at who has signed up to do what (mostly looking at time contributions, but taking into consideration the fact that not everyone is capable of the physical tasks) and compile a list of suggestions for the COs. This may be a contentious plan; it took some work to convince some members of the CO council. However, I believe that everyone is now in agreement and sees the benefit in what I'm proposing.
We have been allocated 50 badges for the Neighborhood. As it stands right now, here's what I've set aside:
12 passes reserved for early entry for whoever is staffing tables - 2 per club
5 passes reserved for special event request or backup
1 pass reserved for my use
Jeff & Sandra Hill - 2 passes for storage of Neighborhood
That leaves 30 badges up for grabs. So, go sign up. The Star Wars Neighborhood needs you!!!
Be forewarned, as with any policy violation, badges are subject to revocation if you signup for something and cancel or no-show.

This is probably a silly question, but can I still help out at the table if I'm dressed as my twi'lek dancer or as my mando? Dan and I will be spending most of our Con time at the Star Wars neighborhood anyway. ^^;

Sarah: under normal circumstances no but as conventions rank as "unofficial events" for TDE I don't see a problem with it. And your Mando is basically just your twi'lek armed with her pistolas and not full mando armor so I don't see any issues with people confusing the clubs
All: I've tried in the past to try and get a schedule going for table duty but it rarely worked out. So I'm just going to run off the honor system and ask to just check in occasionally so someone doesn't get left at the table for long periods of time without a break.
